Responsibilities
- Act as the first point of contact for Independent Pharmacies of Australia (IPA)
- Meet, greet, and assist external visitors in a professional manner
- Answer, route, and announce incoming phone calls efficiently
- Retrieve and distribute voicemail messages daily
- Provide high-quality customer service to internal and external stakeholders
- Triage calls, log customer complaints for QA, and support customer service lines when required
- Coordinate meeting rooms and office resource bookings
- Liaise with mail service providers and manage daily mail distribution
- Organise couriers, including receiving and dispatching items
- Manage kitchen facilities, stationery supplies, and monthly ordering
- Assist with building management and office housekeeping tasks
- Perform data entry, typing, filing, and record keeping
- Adhere to workplace health and safety policies and procedures
- Identify and report workplace hazards or incidents
- Participate in health and safety training
- Complete ad hoc administrative duties as required
Requirements
- 1–2 years of experience in a receptionist or office administration role
- Experience working in a fast-paced, complex office environment
- Ability to manage multiple tasks and competing priorities
- Strong commitment to confidentiality and professionalism
- Proven experience providing administrative and customer service support
